FAQs

Reporting is due from the LEAs by October 1st of each year.  An LEA may set an earlier date for its agencies/providers to meet this deadline.

Who should be entering the data?

  • The entity that provides the services to the students.

When do I start a new profile?

  • When a student enters your program
  • At the beginning of EACH school year or program (summer program)
  • Your profile date should NEVER be before the first date of the current school year or reporting period

When do I close a student’s profile?

  • When a student leaves your program
  • At the end of EACH school year or program (summer program)
  • Your profile date should NEVER be after the last date of the current school year or reporting period

How do I decide how much gain a student made?

  • This is a local decision and you should refer to your agency policies

What kinds of tests are required for pre and post testing?

  • This is a local decision and may be local tests or regional/state tests

I entered all the students into the system, isn’t that enough?

  • No, they must each have at least one associated profile (for each reporting year) to be counted in the reports

Student X was enrolled in my agency, then left, and returned.  What do I do?

  • Enter the student into the system
  • Complete a profile for the first stay, including discharge date and performance data (if applicable)
  • Complete a profile for the second stay

How do I tell the difference between No and N/A for an answer?

  • If the student is not eligible for the opportunity (i.e. geared towards a senior and the student is in grade school), then the answer is N/A
  • If the student simply did not take advantage of the opportunity and he/she was eligible, then the answer is No

Who should be my contact person listed in the system?

  • The contact person should be an administrator who is in charge of the project.
  • Clerical support should not be the contact person
  • There will be a new field for an optional reporting contact
  • Important updates, as well as conference information, are sent to the e-mail address listed in the system.  If your administrator feels you should attend, he/she will forward the information to you.

 Who do I report?

  • Any student who has benefited from Title I, Part D funds.

What are the dates for my school year?

  • Subpart 1 (Juvenile & Corrections) – July 1st – June 30th
  • Subpart 2 (Neglected & Delinquent) – September 1st – August 31st

What is my reporting deadline?

  • The reporting deadline is October 1st
  • All student and profiles must be entered AND approved by your LEA by this date
  • Failure to follow above steps will result in your agency being reported to PDE
  • Your LEA may set an earlier deadline in order for them to review your profiles.

  • The N&D Advisory Committee’s Web site is an excellent resource for updates, events, and contacts regarding Title I Part D.

 I already did my reporting, so why am I still receiving reminder e-mails?

  • Some e-mails are sent to everyone
  • This is not the October child count (PDE-3048)
  • This reporting system shows the federal government how we use our funds and how many children benefited from them

How should I have known to do this reporting?

  • A letter was mailed out to each agency & LEA regarding the reporting system.  The letter was sent to the current system contact and listed the Web site, username, and password for that particular agency.
  • When an e-mail is returned from the master list, all attempts are tried to update the data.

 Do I need to complete this report?  What happens if I do not report?

  • YES, Reporting justifies why the federal governments allocates more than $9 million dollars to our state each year in Title I, Part D funds.  The report is sent to PDE and then directly to Washington, DC.
